If you have lost the confirmation, you can recover the number by contacting the voivodeship office with your passport details. It takes longer, but it is possible. Keep the number at hand: you will need it every time you contact the office, including for complaints.<\/p>\n
What the statuses mean<\/h2>\n
The wording in the replies can be vague, but the meaning behind it is clear.<\/p>\n
Case registered, waiting for review.<\/strong> The application has been accepted, but an officer has not started working on it yet. This is the longest stage, and you can hardly influence it.<\/p>\n Checks in progress.<\/strong> The office is requesting data from other authorities: the Border Guard, the police, ZUS, the tax office. Cases often get stuck here, because the speed does not depend on the office itself.<\/p>\n Letter sent.<\/strong> You have been sent a request for additional documents or to come in person. This is an important signal: the letter sets a time limit, usually from seven to fourteen days, and if you miss it, your case will be left without review.<\/p>\n Case closed.<\/strong> A decision has been made, but the status usually does not say which one. Wait for the letter or call the office.<\/p>\n The Code of Administrative Procedure (Kodeks post\u0119powania administracyjnego) sets one month for a simple case and two months for a complex one. Foreigners’ cases almost always count as complex, but in practice even the two-month limit is not kept.<\/p>\n In reality, residence card cases take from six months to a year and a half, depending on the voivodeship and the department’s workload. The Masovian and Lower Silesian voivodeships are traditionally overloaded. In smaller regions, cases move faster.<\/p>\n It is important to understand: going over the official time limit is a violation by the voivodeship office, not the norm. It is just that people rarely react to it.<\/p>\n A reminder to speed up the case (ponaglenie), that is, a complaint about a delayed case, is filed with the higher authority if the time limit for review has been exceeded. It is not a scandal or a conflict, but a standard tool provided for by law.<\/p>\n It makes sense to file it when more than two months have passed since you submitted the complete set of documents, you have answered all requests, and the delay is not your fault. Formally, the complaint obliges the authority either to speed up or to explain the reason for the delay.<\/p>\n In practice, the effect varies. Sometimes the case moves within a month, sometimes you get a formal reply that says nothing. But the fact that you filed a complaint records that you did not stay passive, and this will be useful if the case goes to the administrative court.<\/p>\n Do not call the voivodeship office every week. It does not speed up the review, and the hotline will tell you the same thing the system shows anyway.<\/p>\n Do not ignore letters. The most common reason for refusals on formal grounds is a request left unanswered. A letter is considered delivered even if you did not collect it from the post office: after two notices, the time limit starts to run.<\/p>\n Do not leave Poland without first understanding your situation. The stamp confirming your filed case confirms that your stay in the country is legal, but it does not give you the right to come back from third countries. People regularly get stuck abroad because of exactly this.<\/p>\n You check the case status by the case number, and the method depends on the voivodeship.
